Notes is a new module inside eCoachManager that gives every staff member their own digital noticeboard — with the power to share, organise, and collaborate with the people and teams around them. The little bits of information that keep a business running smoothly finally have a home.

Driver briefing reminders

Share shift notes on vehicle quirks, school pickup changes, or road closures with your driver category — everyone's informed before they leave the depot.

Client preferences and sensitivities

Keep a private note per key client with their preferences, past issues, and contact details. Share with the ops team as Viewers so the right information is available at booking time.

How-we-do-things references

Document your internal processes — quoting rules, vehicle allocation, school run protocols — and pin them. Living documents, not buried PDFs.

Meeting action items

After a team meeting, create a shared note with agreed actions, share with relevant staff as Editors, and let everyone mark things off as they go. No chasing emails needed.

Vehicle and fleet notes

Record anything that doesn't belong in a formal report — mechanical quirks, client vehicle preferences, upcoming service reminders. Tag it, colour it red for urgent.

🌐 Admins: Company-wide announcements just got easier

Use the Global Note feature to post announcements visible to every staff member on their board — no group emails, no hoping someone reads the noticeboard. Perfect for roster changes, public holiday reminders, policy updates, or a well done to the team.

Who can do what


Role What they can do
Owner Full control — create, edit, share, delete, pin, tag, and change colour.
Editor Can edit content, change colour, pin, and add tags. Cannot share or delete.
Viewer Read-only access. Great for reference notes where you want to control the content.

💡 Colour coding tip

There's no right or wrong — but agreeing a system across your team pays off quickly. A simple suggestion: Red = urgent / needs action  ·  Yellow = in progress  ·  Green = complete / reference  ·  Blue = client-related  ·  Grey = archive.

Getting started — it takes about 30 seconds

Click the Notes icon in the left sidebar to open your board. Hit + New Note to create your first one. That's it — you're in. Explore sharing, pinning, and colour coding at your own pace.

Admins: To set up templates or enable tags, go to Configuration → Tag Management, edit any tag, and tick the "Notes" checkbox.
